The agreement
These terms are between you and 52 Weekends Travel Club (“the Club”, “we”, “us”). By sending an enquiry, asking us to quote, or paying for an arrangement, you agree to these terms and to the supplier conditions we give you with the quote.
If you enquire for other people, you confirm that you have their authority to share their details and to accept these terms for the party. If a company is paying, the person who instructs us confirms they are allowed to bind that company for the booking.
Where a written quotation, invoice, or event contract says something different about price, dates, or cancellation, that document prevails for that trip. These terms fill the gaps.
Our services
We arrange curated luxury holidays, community group travel, meetings, incentives, conferences and exhibitions, flights, hotels, and visa support. Unless a document expressly says that we are the principal supplier of a particular service, we arrange it with third parties: airlines, hotels, destination managers, venues, transport operators, and visa centres. Those suppliers are responsible for delivering their own service under their own conditions.
Descriptions on this website, including the day-by-day notes on a departure, are an indication of how a trip is usually shaped. They are not a final itinerary, a fare, or a promise that a named room is still available.
Enquiries and quotations
An enquiry form, an email, or a phone call does not create a booking. A quotation is valid only for the time stated on it, and only for the dates, names, and party size it lists. Fares, hotel rates, taxes, fuel surcharges, and park fees can move before a ticket or a voucher is issued. We will tell you if the figure changes before you pay. After you pay, the supplier’s rule on that ticket or room decides whether a later change of price can be passed on.
We may decline an enquiry, including where dates are unrealistic, a visa is unlikely, a supplier will not accept the booking, or the request is outside the work we do.
Bookings and payment
A booking is confirmed only when we say so in writing and the payment we asked for has been received. A hold with an airline or a hotel can expire. We are not obliged to keep a hold beyond the time the supplier gives.
Names must match passports. A correction after ticketing follows the airline’s rule and may be refused or charged. You are responsible for checking the confirmation: spelling, dates, routing, and room type.
Payment instructions will be on the invoice. We do not ask for card numbers through the public website form. Bank charges, currency differences, and taxes that a supplier or a government adds are payable in addition when they are not already inside the quoted figure. Where a supplier issues a GST invoice, we will pass it on.
Changes and cancellations
Before you pay, you may walk away from a quote. After you pay, cancellation and amendment follow the rule of the airline, hotel, venue, or other supplier, which we will have stated in the quote or the confirmation. Some tickets and peak-season rooms are non-refundable from the moment they are issued. Embassy and visa-centre fees are often non-refundable even when a visa is refused.
If we have already done professional work on a file — a visa preparation, a series of amendments, or an event plan — a professional fee may apply. That fee will be disclosed before you are asked to pay it. It is separate from supplier charges.
If we must change a material part of a confirmed arrangement because a supplier withdraws it, we will offer the closest reasonable alternative or a refund of the sums the supplier actually returns, and we will tell you which of the two is available.
Passports and visas
You are responsible for a valid passport, usually with at least six months of validity beyond travel and with sufficient blank pages, and for every visa, transit permit, and entry rule that applies to your nationality and your routing. Rules change. We will check the requirement we are asked to handle against the itinerary at the time of the enquiry, and we will say when a requirement is uncertain.
Visa support means preparing a file, advising on a checklist, and coordinating an appointment where the centre allows an agent to do so. It is not a guarantee that a visa will be issued, issued on time, or issued for the length of stay you prefer. The decision belongs to the government. Refusal, delay, or a request for more documents does not, by itself, make the Club liable for flights or hotels already committed under their own rules.
You must give accurate information and genuine documents. We will not submit a file we believe to be false, and we may stop work if a document does not look right.
Flights, hotels, and other suppliers
Airlines control schedules, aircraft, seating, baggage, and refunds under their conditions of carriage. Hotels control check-in times, facilities, and overbooking under their own conditions. A star rating, a photograph, or a supplier’s description is the supplier’s, and a property can renovate, close a restaurant, or change a view without notice to us.
We book through trade desks, including TBO, TripJack, Cleartrip’s agent tools, hotel groups such as Hilton and Radisson, and corporate tools such as myBiz, where those channels fit the trip. Their booking rules apply alongside these terms.
Special requests — adjoining rooms, a quiet floor, a birthday arrangement, a particular guide — are requests. They are confirmed only when the supplier confirms them in writing.
Group departures
Departures listed on this website are proposed for the month shown. The exact dates, the minimum group, the hotels, and the price are fixed in the quote, not on the public page. A departure may be withdrawn or retimed if the group does not form or if a supplier cannot hold the plan. If that happens before you have paid, there is nothing to refund. If it happens after you have paid, we will offer another date or a refund of supplier funds returned to us, together with any Club fee that the quote said would be refundable.
On a hosted departure the day order can shift for weather, traffic, park rules, or the pace of the group. A change of that kind, which keeps the same standard of stay and the same region, is not a cancellation. Single travellers should ask for the single-room supplement before paying. It is not assumed to be free.
Meetings and events
Meetings, incentives, conferences, and exhibitions are usually governed by a separate event agreement or venue contract. That document states the minimum spend, the attrition on room blocks, the cancellation ladder, and what happens if the headcount changes. Where it conflicts with these terms on those commercial points, the event agreement prevails. Delegate visas and tickets remain subject to the visa and supplier sections above.
Conduct
We may refuse or stop service if a traveller or a guest abuses staff, suppliers, or other guests, or asks us to do something unlawful. Suppliers may refuse carriage or accommodation under their own rules. If that happens, related costs are not our charge to refund.
Insurance and health
We strongly recommend travel insurance that covers cancellation, medical care, and evacuation, particularly for international trips and for safaris. Some camps and activities require it. You are responsible for vaccinations, medicines, and fitness to travel, including any age limit a camp places on children. Tell us the ages of children and infants when you enquire. A safari or a boat day may be unsuitable for an infant even when a visa is not required.
Liability
We are responsible for loss or damage caused by our own negligence or by our failure to carry out the arrangement with reasonable care. We are not the airline, the hotel, the venue, the insurer, or the government that decides a visa. We are not liable for a supplier’s delay, overbooking, change of schedule, or refusal, except to the extent our own negligence caused it, and except for any refund the supplier actually makes.
We are not liable for indirect or consequential loss, including a missed business opportunity, to the extent the law allows that limit. Nothing in these terms limits liability for death or personal injury caused by negligence, or any other liability that Indian law, including the Consumer Protection Act, 2019, does not allow us to exclude. If a court finds a part of these terms unenforceable, the rest stays in force.
Force majeure
Neither you nor the Club is liable for a delay or a failure caused by something beyond the reasonable control of the affected party. That includes natural disasters, severe weather, epidemic or pandemic, war, terrorism, riot, strike, government action, airspace or border closure, and the failure of a public utility. The affected party will tell the other as soon as it reasonably can and will try to limit the effect. Money already paid to a supplier is refundable only to the extent the supplier returns it. If the interruption continues long enough that the trip can no longer be taken, we will close the file and account for the sums that can actually be recovered.

Our handling of personal information is described in the privacy policy, which forms part of these terms on that subject.
Law and contact
